Frequently Asked Questions


I wanted to have the early bird rates but I can only pay it later next month, can you help with that?

All registrations and payments are directly processed by UICH. Congress host organizers are not responsible for the rates that you are going to pay for the Congress. In regards to early bird rates, once you are not able to pay by the deadline set by UICH, your registration will be immediately changed to regular rates by the system. Our early bird registrations are only open for exactly 100 first participants, once all the quotas are paid, we will close the early bird and process with regular rates. Waiting lists are subject to discretion with the UICH.

I would like to arrive early or stay a little bit longer in Bali, can I extend my stay outside of Congress dates?

We have arranged group rates in Westin and Sofitel for participants who would like to stay outside of Congress dates. As mentioned on the website, the rates will be available 3 days prior to and after the Congress. Should you wish to stay longer, please reach our hotline numbers and we will connect you directly to the hotel Salesperson. All additional nights are subject to hotel availability. We suggest that you plan your stay ahead after you have reserved your Congress registrations. All additional nights shall be paid to the hotels directly.

Is it possible to have special requests for my room arrangements in the Congress Hotel Venue?

All requests are subject to hotel availability. We will try to communicate your room requests to the hotel, provided that you put the room requests in the notes on your congress registration. All room type and bedding requests are also subject to hotel availability, Congress organizers are not responsible for your room type and bedding allocations. We suggest you register as early as possible.

FYI, any additional rooms that you might need during Congress dates (for your family or friends), will be subject to hotel availability. We will be glad to assist you with several hotel options near the Congress hotels to assist with your accommodations.

ON YOUR ARRIVAL

Is a Visa required to enter Bali?

Visa is required for several passport holders. Visa On Arrival can be obtained upon arriving at I Gusti Ngurah Rai International Airport. List of countries eligible for VoA can be checked at https://www.imigrasi.go.id/en/visa-kunjungan-saat-kedatangan/ .

Is it necessary to declare customs?

Yes, please fill in the customs declaration prior to your arrival at I Gusti Ngurah Rai International Airport to speed up your immigration process. Customs declaration can be found at https://ecd.beacukai.go.id/ . Your belongings are exempted from being declared.

It might be confusing to me since this will be my first time in Bali. Can someone help me at the airport?

For participants arriving on the 21st of April, starting at 00.00, we offer immigration meet and greet at the airport at additional costs to assist you in navigating the airport. Please reach out to us for more information.

I will be arriving early and/or departing later from the Congress dates. How can I arrange transport from/to the hotel?

We can assist you in arranging transportation for your arrival or departure at an additional cost. Please reach out to our team for transport arrangements. Complimentary airport transfer will be arranged for participants arriving on the 21st of April and departing on the 26th of April only. Our team member will be available at the airport with Congress signage and banners to assist you with transportation on both dates.

If you choose to use a taxi, we suggest finding Blue Bird Taxi as it is currently the largest operator in Indonesia and Bali. They also have myBlueBird app that is available on Android or iOS so you can order your taxi online. They only receive cash in Indonesian Rupiah, however, you can also input your credit card number into the apps if you prefer cashless payment. Other than Blue Bird, you can also use Grab or Gojek (apps can be found both in Android or iOS). Payment will also be in Indonesian Rupiah and only in cash.

GENERAL QUESTIONS

Is there ATM in the hotel?

ATM and Currency exchange services are available in the airport arrival area and both hotels. Most ATMs can take Visa, Master, and Maestro. ATMs are also available in most minimarts. Please be mindful of the bank fees applied to you. All ATMs in Indonesia only dispense Indonesian Rupiah bank notes.

Can I pay in Euro or US Dollars?

Most restaurants only accept Indonesian Rupiah cash as payment. However, some places offer USD or EUR only for payment by credit card, however, you will still be charged in Indonesian Rupiah on your bill. Credit cards, especially Visa and Master, are widely accepted.

Is tipping customary?

Please tip where you can. While tipping is not a requirement, the island has had a very challenging couple of years – and a little can go a long way.

Is it safe to eat local foods?

While most places that we have planned for you have been checked for hygiene and safety, we recommend you bring your own medicines, especially with the spices and sambals that you might not be familiar with, it is always better to be safe than sorry.

Is there a nearby hospital?

BIMC Hospital Nusa Dua is only a 1,5 km or 5-minute drive from both hotel venues. In case you need any medical assistance, please reach out to our team member for further assistance.

Is it hot in Bali?

While Bali is generally sunny, April is a transitional month for the wet to the dry season. Bring your sunscreen with you. It might be warm at times but expect humidity due to weather transitions. The temperature is about 31o Celsius (about 87.8o Fahrenheit) in the daytime and can fall to around 24o Celsius (about 75.2o Fahrenheit) at night.

I have several dietary restrictions and food allergens; can I still enjoy the Congress?

We have prepared various Indonesian cuisines that you can experience during your time in Bali. Please fill in the dietary restrictions and allergen section during your registration clearly so we can better accommodate your needs. We have also prepared a selection of replacements so you can still enjoy the ambiance that we prepared for you.

Is it safe to drink water from anywhere?

No. It is not safe to drink tap water in Indonesia. It is always advised to drink from bottled water, available at any marts for very low cost. Bottled water will be available complimentary in your rooms. You can also stock up on water by purchasing in the nearest minimarts.

Is Wi-Fi easily accessible anywhere?

While it is readily accessible in the hotel and meeting spaces, Wi-Fi is not commonly accessible in public spaces. During your visit to Bali, plan ahead by buying local SIM cards, available at the airport arrival area, or buy travel Wi-Fi that you can use personally, also available at the airport. The recommended SIM card provider to use in Bali is Telkomsel, as it is currently the provider with the biggest network coverage.
